Case study · Procurement for aviation infrastructure

A supplier-discovery and RFQ platform for aviation-infrastructure procurement

Buying specialist aviation-infrastructure equipment means finding the few suppliers who make it, reaching the right person at each, and comparing quotes that arrive in different formats. We built a platform that does the discovery and runs the RFQ, so the buyer spends time on the decision.

The problem

Procurement for this kind of equipment starts with a search, not a form. The supplier list lived in people's heads and old email threads, contacts went stale, and every RFQ was assembled by hand. Quotes came back as PDFs, spreadsheets and email text, and the price history was hard to find when the next request arrived.

What we built

A mapped supplier base

Suppliers organised by what they make, where they operate and who they have supplied, searchable by product.

The right contact, not a generic inbox

For each supplier the platform proposes a named person and shows how confident it is in the contact details.

RFQs generated from the request

A buyer describes the need once and the platform produces a consistent RFQ document for each supplier on the shortlist.

Tracking and follow-up

Every RFQ is logged with who was asked, who replied and what is still open, so nothing depends on memory.

Quotes kept with their source

Received prices are stored against the document they came from, so the next RFQ starts with a reference point.

How it runs

The platform is a web application used by the procurement team. A person approves every RFQ before it goes out; the system prepares and tracks, people decide.

Results

More than 6,000 suppliers are mapped and about 30 RFQs have been run through it. The supplier list now lives in one place, and each new request starts from the last quote instead of from zero.
