WPS GOSI Qiwa Mudad payroll integration

Payroll data that reaches every Saudi platform in the right shape

Saudi payroll touches several platforms at once: your bank, GOSI, Qiwa and Mudad. We build the custom integration and HR workflow that keeps one employee record feeding all of them. You register with each platform yourself, and we build the integration side.

The direct answer

Payroll, WPS, GOSI and Qiwa integration is custom software that takes employee, attendance and pay data from your systems and prepares it for the wage protection, social insurance and labor platforms that Saudi employers deal with. It fits companies whose HR data lives in several tools. We build the integration and HR workflow, not a packaged HRMS. Registration with each platform stays with you.

Before and after

What this removes.

The same employee is typed in four places

Today

HR enters a new joiner in the HR tool, payroll, GOSI and Qiwa separately, and the records drift apart.

With the system

One employee record is the source, and each platform's data is prepared from it.

Month-end wage file panic

Today

Finance builds the bank file by hand from a spreadsheet, and one wrong IBAN delays a whole pay run.

With the system

The file is generated from validated data, with a pre-check that flags problems before submission.

Contributions that do not reconcile

Today

The contribution amounts HR expects do not match what the platform shows, and nobody can say why.

With the system

Each figure is traced to employee, salary components and period, with differences listed.

Leavers and changes are missed

Today

A resignation, a transfer or a salary change reaches one system and not the others.

With the system

Events are recorded once and pushed to every place that needs them, with a status for each.

What we build

What lands in your hands.

Employee master record

A single, validated record for identity, contract, salary components and bank details.

Wage file generation

Pay run output prepared in the format your bank expects, with pre-checks before you submit.

Social insurance data

Contribution inputs prepared from salary components for the GOSI workflow, with period-by-period reconciliation.

Contract and labor records

Data prepared for Qiwa and Mudad processes, such as contract details and changes.

Joiner, change and leaver workflows

Approvals and tasks for HR, finance and line managers, with a status per platform.

Reports and audit trail

Reconciliation reports, access logs and a history of who changed what.

In depth

How it works, and what to decide.

Four platforms, one employee record

A Saudi employer's payroll is not one task. Salaries move through the banking system under the wage protection arrangement. Social insurance contributions go through GOSI. Employment contracts and labor records live on Qiwa. Mudad supports wage protection and contract documentation workflows. Each has its own screens, its own data fields and its own rules, and each is owned by a different body.

Most trouble starts before any platform is touched. The employee record is weak: an old IBAN, a missing identity number, a salary split that differs between HR and finance. The most valuable first step is a clean employee master record with agreed fields and a named owner. Everything else is prepared from it.

We are specific about what we build. This is a custom integration and HR workflow service. It is not a packaged HRMS, and it does not replace your accounting system. If you already run an HR tool, we connect to it. If you run spreadsheets, we build the thin application that replaces them. Access to GOSI, Qiwa, Mudad and your bank is granted by each of them to your company. We do not hold it for you.

How the integration is built

The design follows the data, not the platform names. First we map where each field originates: HR for contract and title, attendance for days worked, finance for allowances and deductions. Then we define the rules that turn those inputs into pay components, contribution bases and the file or record each platform needs.

Platforms offer different routes. Some accept uploaded files in a defined layout. Others expose services to registered organizations. Some are used through the web portal by a named user. We check what each currently offers your company type, build against the published documentation, and say plainly when a step stays manual. A good design makes the manual step fast and verified rather than pretending it is automated.

Every pay run goes through the same sequence: collect inputs, validate, calculate, review, generate outputs, submit, reconcile. A validation step catches the usual causes of rejection before submission: a mismatched identity number, an invalid bank account, a period overlap. Errors land in a queue with a clear owner. Indicative timelines are four to twelve weeks, driven by the number of source systems and how clean the data is.

Controls, privacy and change

Payroll data is among the most sensitive a company holds. Under the Personal Data Protection Law it is personal data, so access is role-based, exports are logged and retention is defined. Pay data should be visible to the few people who need it, and every change should leave a record of who made it and why.

Segregation of duties matters as much as encryption. The person who prepares a pay run should not be the one who approves it. We build approval steps into the workflow and make them configurable, so a small company can run with two roles and a larger one with several. Where your policy requires it, hosting can be inside the Kingdom.

Rules and platforms change. A new field, a changed file layout or a revised process can break an integration overnight. We keep each platform behind its own adapter, so a change is made in one place and tested before the next pay run. We also keep a calendar of recurring deadlines on your side, so a missed registration renewal does not surprise you. After launch we monitor runs and keep the integration current.

The delivery plan

Five stages. You sign off every one.

Read each stage as a small contract: what we need from you, what lands in your hands, and the sentence that has to be true before we move on.

01 / 05

Map and clean

1 to 2 weeks

We map where each field comes from, check the data quality and agree the employee master record.

What you do
  • Share current HR and payroll files
  • Name an owner for each field
  • List the platforms you use
What we deliver

Buyer questions

Asked before signing.

Is this a payroll or HR product we subscribe to?

No. It is a custom integration and HR workflow built around your systems. If you already use an HR tool, we connect it. If you use spreadsheets, we build a thin application. You own the code and the data.

Can you connect us to GOSI, Qiwa or Mudad?

We build the integration side: data preparation, file generation and workflows. Access to each platform is granted by that platform to your company through its own registration, and we do not hold it or apply on your behalf.

Do you replace our accounting system?

No. This work covers employee, pay and platform data. Your accounting system stays as it is, and we can send it a summary journal of each pay run if you want one.

How do you keep payroll data private?

Access is role-based, exports are logged, and retention is defined in writing. Approval steps separate preparing a pay run from approving it. Data can be hosted inside the Kingdom, and handling follows the Personal Data Protection Law.

What happens when a platform changes its rules?

Each platform sits behind its own adapter, so we change one place and test before the next pay run. We watch published guidance, and a support plan covers updates so your payroll is not the first place a change shows up.

Ready to stop retyping employees into four systems?

Send us your current HR and payroll files and the platforms you use. We will return a data map, a scope and a timeline.
