ZATCA e-invoicing integration

E-invoices that reach ZATCA correctly the first time

ZATCA's integration phase asks your system to produce structured, signed invoices and send them to the Fatoora platform. We build that connection into your ERP or billing software and test every invoice type before you rely on it.

The direct answer

ZATCA e-invoicing integration is connecting your ERP or billing system to the Fatoora platform so each invoice is produced in the required XML structure, cryptographically stamped, carries a QR code, and is cleared or reported to ZATCA. It fits any VAT-registered business in the integration phase. We build the connection, test it, and monitor submissions.

Before and after

What this removes.

Your wave deadline is close

Today

ZATCA has told you when your integration phase starts, and your current software cannot produce a compliant file.

With the system

A tested connection is live before your wave date, with a plan for the invoice types you issue.

Invoices are rejected and nobody knows why

Today

A submission fails, finance sees a generic error, and the invoice sits in limbo.

With the system

Each rejection shows the exact validation message, goes to the right person and can be retried.

Several systems issue invoices

Today

Retail, subscriptions and the ERP each produce invoices in a different way.

With the system

One integration layer stamps and submits invoices from every source with the same rules.

Corrections break the numbering

Today

Credit notes, cancellations and reissues leave gaps in the sequence that an audit would question.

With the system

Sequence, previous-invoice hash and credit note links are handled by the integration, not by hand.

What we build

What lands in your hands.

Invoice generation

Standard and simplified invoices created in the required XML, with the mandatory fields filled.

Cryptographic stamping

Certificates requested, stored safely and used to sign each invoice and chain it to the last.

Clearance and reporting

Tax invoices cleared through Fatoora and simplified invoices reported within the allowed window.

Device and solution onboarding

Compliance checks run and production credentials issued for each unit.

Error handling and retries

Queues, retry rules and alerts so a failed submission is seen and fixed the same day.

Archive and reconciliation

Signed invoices stored and matched to your ledger, ready for review.

In depth

How it works, and what to decide.

What the integration phase actually requires

ZATCA introduced e-invoicing in two phases. The generation phase, which began in December 2021, requires invoices to be created and stored in electronic form, with a QR code on simplified invoices. The integration phase, which started in January 2023, goes further. Your system must connect to the Fatoora platform and send each invoice, and ZATCA announces affected taxpayers in waves.

In this phase an invoice is a structured XML file following the UBL 2.1 standard with ZATCA's field requirements. It carries a cryptographic stamp, a QR code, a unique identifier, a sequence number and a hash of the previous invoice, so the chain cannot be edited quietly. Standard (B2B and B2G) tax invoices are sent to ZATCA for clearance before they are shared with the buyer. Simplified (B2C) invoices are issued to the customer and reported to ZATCA within twenty-four hours.

For you this means three practical needs: software that can produce the XML correctly, a secure way to hold the certificates, and a reliable way to deal with failure. The technical specifications and the sandbox are published by ZATCA, and we build and test against them.

How we connect your system

The path depends on what you run. If your ERP is SAP, Odoo or Dynamics 365, there may be a localization you configure and extend. If you run custom billing software, a point-of-sale system or several channels, we build an integration layer that sits beside them, receives invoice data, builds and signs the XML, submits it and returns the result and the QR code.

Onboarding follows ZATCA's sequence. You register the solution units on the Fatoora portal, generate a certificate request, obtain a compliance certificate, run the required sample invoices through the compliance checks, and then obtain the production certificate. We guide each step, and the private keys stay in your control and are stored in a protected key store.

Edge cases take most of the time: credit and debit notes tied to earlier invoices, invoices in foreign currency, discounts and allowances at line and document level, prepayment invoices, zero-rated and exempt supplies, and cancellations. We list the cases you actually issue, write a test for each, and keep the test suite so any later change to your invoicing is checked before release. A typical integration takes three to eight weeks, depending on the number of source systems.

Operations: monitoring, retries and records

Going live is the start of the work. Fatoora can be briefly unavailable, a customer's tax number can be wrong, and a rounding difference can trigger a validation error. The integration therefore needs a queue, a retry policy and a visible error screen, so finance staff see a rejected invoice and know what to correct.

We set up monitoring that alerts when submissions fail, when the reporting window is near its limit, or when a certificate is close to expiry. Certificate renewal is a known source of surprise outages, so we put it on a calendar and test the renewal before it is needed.

Signed invoices and ZATCA responses are archived and linked to the ledger entry, so an auditor can follow a number from the general ledger to the cleared XML. Under the Personal Data Protection Law, invoices contain customer data, so we document where the archive is stored and who can read it, and we can host the integration inside the Kingdom.

The delivery plan

Five stages. You sign off every one.

Read each stage as a small contract: what we need from you, what lands in your hands, and the sentence that has to be true before we move on.

  • Share systems and invoice samples
  • Confirm your wave date
  • Name a finance and a technical contact
What we deliver
  • An invoice-type and system inventory
  • A design and test list

Buyer questions

Asked before signing.

Does my business have to comply, and when?

VAT-registered taxpayers in the Kingdom must issue e-invoices. ZATCA announces integration phase waves, and each affected taxpayer is notified ahead of its date. Check your notice on the ZATCA site, and we plan backward from that date.

What is the difference between clearance and reporting?

Standard tax invoices (typically B2B and B2G) are sent to ZATCA for clearance before the buyer receives them. Simplified invoices (B2C) are issued first and reported to ZATCA within twenty-four hours. Your system must handle both.

Can you integrate with our existing ERP or POS?

Usually yes. For SAP, Odoo and Dynamics 365 we configure or extend the localization. For custom billing, a point-of-sale system or several channels, we build an integration layer that signs and submits invoices from each source.

What happens if ZATCA rejects an invoice?

The integration records the exact validation message, flags the invoice to the right person and keeps it in a queue until it is corrected and resubmitted. We also alert on repeated failures so patterns are caught early.

Who holds the certificates and invoice archive?

You do. Certificates are issued to your solution units, private keys are stored in a protected key store under your control, and the signed invoice archive stays in your environment or in a hosting location you choose.
