HubSpot that gives marketing and sales one customer record

We set up the CRM, pipelines, forms, email and reporting so a lead is captured once, followed up on time, and handed to sales with its full history attached.

The direct answer

A HubSpot implementation connects the CRM, marketing tools, sales tools and service desk into one configured system, so every contact has a single history. It fits small and mid-sized Saudi and GCC companies that want a faster rollout than a heavy enterprise CRM. We configure properties, pipelines and automation, migrate contacts, connect your other tools, and train your team.

Before and after

What this removes.

Marketing and sales argue about lead quality

Today

Marketing counts form fills, sales counts closed deals, and nobody agrees what a qualified lead is.

With the system

A shared definition, a scoring model and a lifecycle stage that both teams see on the same record.

Enquiries arrive in too many places

Today

Web forms, email, calls and WhatsApp messages land in different inboxes and get answered at different speeds.

With the system

Each enquiry becomes a contact with an owner, a task and a reply timer.

Reports take a day to build

Today

To see which campaign produced revenue, someone exports three files and matches them by hand.

With the system

Attribution and pipeline dashboards update on their own, by source, owner and stage.

The tool is bought but half-used

Today

HubSpot was set up from a template, and the properties and workflows no longer match how you sell.

With the system

A clean property model, a small set of working automations, and a team that knows where things are.

In depth

How it works, and what to decide.

How a HubSpot rollout is structured

HubSpot is sold as hubs (Marketing, Sales, Service, Operations, Content) on top of a shared CRM, and the tier you buy changes what you can automate. A common mistake is buying a high tier on day one and using a tenth of it. We recommend the smallest tier that supports your first six months of use, with a clear trigger for when to move up.

The real design work is the data model. Contacts, companies, deals and tickets are the standard objects, and most businesses need a handful of custom properties and, occasionally, a custom object. We define lifecycle stages and lead status together with marketing and sales so that a handoff means the same thing to both sides, then build pipelines whose stages are exit-tested rather than decorative.

A single-team rollout with a clean contact import usually takes 4 to 6 weeks. Marketing, sales and service together, with ERP integration and several pipelines, takes 8 to 10 weeks.

Arabic content, consent and WhatsApp

HubSpot handles right-to-left content in emails, forms and pages when templates are built for it, and many off-the-shelf templates are not. We build bilingual templates and forms, test them in the mail clients your customers actually use, and set a language property on each contact so the right version is sent automatically.

Marketing email and form data are personal data, so the Personal Data Protection Law applies. We configure forms with a clear purpose statement and consent checkbox, store consent against the contact, and set up unsubscribe and deletion handling. The Saudi regime for marketing communications also sets expectations on opt-in and opt-out, and we confirm those with your legal adviser rather than guessing at them.

WhatsApp matters more here than in many markets. HubSpot connects to WhatsApp Business through its integrations, so conversations sit on the contact record. Template approval and messaging policy are set by Meta, and we build within them.

Migrating from spreadsheets or another CRM

Most HubSpot projects begin with a pile of contacts in Excel, a mailbox export, or an older CRM. The contacts are rarely clean. The same person appears under two spellings, company names differ between rows, and phone numbers mix formats. We deduplicate on email and company, normalise phone numbers to international format, and keep Arabic and Latin spellings together on one record.

We import in stages: companies first, then contacts associated to them, then deals, then activity history where it is worth carrying across. You approve a sample import in a test view before the full load.

Afterwards the question is ownership. We document which properties are required, who maintains the workflows, and how a new field is requested, so the portal does not drift back into the state you started from. If you outgrow HubSpot, your data exports cleanly and stays yours.

The delivery plan

Five stages. You sign off every one.

Read each stage as a small contract: what we need from you, what lands in your hands, and the sentence that has to be true before we move on.

01 / 04

Discovery and plan

1 to 2 weeks

We map your lead-to-customer journey, agree definitions with marketing and sales, and choose the right tier.

What you do
  • Describe how a lead becomes a customer
  • Agree lead and qualified-lead definitions
  • Share your current lists and tools
What we deliver
  • A data model and pipeline design
  • A tier and licence recommendation
  • A fixed scope and timeline
Exit criteria

We move on when marketing and sales both sign the lifecycle definitions and the scope.

02 / 04

Configure the portal

2 to 4 weeks

We build properties, pipelines, forms, templates, workflows and dashboards in the portal and show them weekly.

What you do
  • Review each build on the portal
  • Approve Arabic and English copy
  • Confirm routing and ownership rules
What we deliver
  • Configured CRM and pipelines
  • Bilingual forms and email templates
  • Scoring and routing workflows
Exit criteria

We move on when a test lead moves from form to contact to deal with the right owner and tasks.

03 / 04

Migrate and integrate

1 to 3 weeks

We clean your contacts, import them in stages, and connect WhatsApp, your website and any ERP or accounting link.

What you do
  • Approve the deduplication rules
  • Check a sample import
  • Give access to connected systems
What we deliver
  • Cleaned and imported data
  • Working integrations
  • A cutover checklist
Exit criteria

We move on when record counts reconcile and each integration passes a test transaction.

04 / 04

Train and launch

1 week, then 4 weeks of support

We train each team on its own workflows, go live on an agreed date, and stay close while habits form.

What you do
  • Attend the role-based sessions
  • Run acceptance tests
  • Report friction in the first weeks
What we deliver
  • Training sessions and short guides
  • A live portal with data loaded
  • Fixes during the support period
Exit criteria

We move on when your acceptance tests pass and the team works only in HubSpot.

Buyer questions

Asked before signing.

How much does a HubSpot implementation cost?

Two costs apply. HubSpot bills subscriptions directly, and the amount depends on the hubs and tier. Our implementation is a fixed scope based on the number of hubs, pipelines, integrations and the state of your data. We price it after the discovery stage.

Does HubSpot work well in Arabic?

Yes, with the right setup. We build right-to-left email templates, forms and pages, set a language property on each contact, and test rendering across common mail clients. Your team can also work in the interface in the language that suits them.

Can we connect WhatsApp and our ERP?

Yes. WhatsApp Business conversations can sit on the contact record through HubSpot's integrations, and we connect ERP or accounting systems through documented APIs. We confirm what your specific ERP exposes during discovery before promising a design.

Who owns the portal and our contact data?

Your company owns the HubSpot account, the configuration and every contact in it. We work inside your account, document what we build, and hand over admin access. Your data can be exported at any time.

Is HubSpot enough, or should we choose a heavier CRM?

For many teams it is enough. If you need deep custom objects, complex territory rules or large-scale approvals, Salesforce may fit better. We will tell you honestly which side of that line your requirements fall on during discovery.

Ready to give every customer one record?

Tell us where your leads come from and where they get lost. We will scope the setup, the migration and the training, and price it as one piece of work.
